Responsibilities

POSITION SUMMARY:

 

Under the direct supervision of the Director of Outpatient Marketing (DOM), the Outpatient Coordinator is responsible for managing all aspects of the outpatient admissions process, ensuring a seamless transition from referral to scheduled appointments. This position plays a vital role in patient access by completing intake on all referrals, verifying insurance benefits, facilitating authorization, and scheduling initial and follow up visits. The Outpatient Coordinator upholds the highest standards of professionalism, accuracy, and customer service while contributing to departmental efficiency and organizational growth.

 

  1. Position Responsibilities

 

  • Process incoming referrals by verifying completeness, accuracy, and payer requirements prior to giving scheduling approval.
  • Conduct insurance eligibility and benefit verification, including deductible, copay, and authorization requirements.
  • Obtain insurance authorizations as required.
  • Communicate effectively with patients, clinic staff, Ambulatory Access Center -AAC team, and referring providers to confirm appointment details and resolve access-related issues.
  • Accurately document all actions taken within the EMR, tracking systems, and payer portals to maintain transparency and compliance.
  • Collaborate with the local outpatient leadership team, Ambulatory Access Coordinator –AAC team and peers to ensure daily workloads and turnaround expectations satisfied.
  • Monitor and follow up on pending authorizations and referrals to prevent delays in patient care.
  • Maintain knowledge of payer guidelines, departmental policies, and changes in authorization requirements.
  • Efficient with scheduling and follow up duties including but not limited too; in active list, scheduling within recommended frequency, schedule optimization and effectiveness, double booking ratio
  • Efficient with patient registration, account creation, account roll over, and account accuracy
  • Support departmental initiatives related to efficiency, quality, and patient satisfaction.
  • Protect patient confidentiality and ensure compliance with HIPAA and organizational standards.

Qualifications

POSITION QUALIFICATIONS: Education and Training:

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience in patient access, outpatient admissions, medical office coordination, or related healthcare role.

 

Knowledge, Skills, and Abilities:

  • Working knowledge of insurance verification, authorization processes, and EMR systems.
  • Excellent verbal and written communication abilities.
  • Strong communication, critical thinking, attention to detail, organizational, and problem-solving skills.

WORKING CONDITIONS: Working generally indoors in well-lighted, well-ventilated areas. Working conditions as in hospital surroundings. This position operates in a hospital based outpatient admissions environment with frequent collaboration in person, via phone, email, and EMR communication systems.
