Overview

The Accounts Payable Specialist (APS) serves as the liaison between facilities staff, vendors and the Corporate Office Staff by processing invoices, vouchers, expenses, check requests according to standard procedures to insure proper entry into the financial system (WellSky).

Responsibilities

  • Handles vendor correspondence, invoices & statements via email.
  • Processes invoices/data entry in multiple software systems, PO & Non-PO.
  • Monitors hospital accounts with vendor by checking monthly statements and followup as necessary.  Researches payment history and assures payments are applied correctly.
  • Processes check requests from hospital staff such as doctor stipends, sponsorships, emergency funding, etc.
  • Receives, researches and resolves a variety of routine internal and external inquiries concerning account status, payment timing, coding, discrepancies, etc.
  • Reviews for accuracy/compliance and approves weekly expense reports for assigned facilities’ staff members.
  • Stays current with entry to prevent service interruptions and late fees.
  • Assists in sorting mail and fields AP email on a rotating basis.
  • Verifies contracts and service agreements are in place prior to payment.
  • Stays mindful of accurate data entry and best business practices– this is imperative as we provide the expense basis of hospital financials.
  • Performs other duties as necessary to support the AP and Finance departments.

Qualifications

  • 1-3 years accounts payable experience or general accounting experience preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational skills.
  • Detail-oriented.
  • Accuracy a must.
  • Ability to multi-task and prioritize.
  • Proficient in Excel, Outlook, PDF handling, with a willingness to learn new systems and processes. 
  • Sound analytical skills.
  • Team player mindset.
  • Trustworthy and dependable, ability to work from home without distractions while maintaining quality and quantity of workload.
